Reservations, Bookings & Cancellation |
Whether your group books a simple day trip
or an extended cruise, VSI charters and excursions are budgeted
for a full or nearly full signup to enable us to offer trips at
the lowest possible prices. In order to ensure availability, it
is strongly advised that all reservations are made well in advance.
Our Reservation, Booking and Cancellation Policies are straightforward,
simple and convenient.
>>
VSI
trips and charters are FCFS – First Come ~First Served and
subject to availability. In order to ensure your specific requirements
are met not only in dates but in vessels, we suggest reserving
space as early as possible, since many trips fill 2-3 months in
advance. Charter Quote form can be
printed out here.
>>
Required
advance deposits are 50% of the agreed package price which is
due at the time of booking. All prices quoted are in US Dollars.
Payments shall be accepted in US Dollars only.
>>
VSI
will make every effort to provide the vessel(s) of your choice.
We will reserve the appropriate yacht(s) for your group at the
same time as your reservation is confirmed and the deposit received.
Should a particular vessel be unavailable at the time of your
booking, we will make alternate arrangements to secure a similar
vessel from our fleet. Any necessary adjustments in the prevailing
rate for the alternate vessel (+/-) will be applied, subject to
the client’s acceptance.
>>
For
immediate confirmation, you may call by telephone @ 1-305-613-2049
and charge the initial deposit to your Visa, MasterCard, or America
Express credit card. We also accept company checks, personal checks,
cashiers check or money orders via mail. Balances are due in full
prior to embarkation on the date of departure.
>>
Upon
receipt of your deposit, we will forward a receipt a letter of
confirmation specifying your trip dates, itinerary, departure
times, list of items to bring, visa/passport requirements if necessary,
and any additional information needed for your trip.
>>
Once
your confirmation has been made, you will need to sign an Agreement
to Release, Hold Harmless, Indemnify and Defend including the
names of the entire charter party. This PDF release form may be
downloaded here.

Deposits
made by clients are non-refundable except as provided herein.
Deposits made by clients and cancelled by them in writing 30 days
prior to the embarkation dates according to VSI’s stated
policies shall be 100% refundable. In all cases, cancellation
dates are computed as of the date of receipt of written notification.
Cancellation
by the client in writing 15 days prior to the embarkation dates
shall be subject to 50% refund of the initial deposit amount.
Any
cancellations by the client in any form for any reason less than
15 days prior to the scheduled embarkation dates are non-refundable.
*
VSI may within reason and at its sole discretion defer a portion
of the non-refundable deposit to a rescheduling of the trip –
see ‘Rescheduling’
All
rates are based upon group participation and partial refunds are
not available for unused trip arrangements (e.g. sightseeing,
etc.), or for less guest participation than scheduled. VSI reserves
the right to cancel any trip prior to departure for any reason
including but not limited to; lack of participation, or any logistical
problems which may impede trip operations.
VSI
must normally make substantial payments to its suppliers in advance
of the embarkation dates. Should a trip be cancelled due to force
majeure (acts of God, war, labor strikes, earthquakes, flooding
etc) VSI will promptly refund the portion of the trip costs not
advanced to such suppliers and does not make any guarantees except
to agree to make every best effort to recover and refund any remaining
balance owed to the client.
>>
In
the unlikely event of a complete ‘no show’ by the
responsible client or the group, the initial deposit is non-refundable
and the entire remaining balance is due and payable within (5)
working days from the date of the scheduled departure.
>>
VSI
will at all times cooperate to reschedule or modify a trip necessitated
by a cancellation for any reason.
In
cases, where a client has been subject to any portion of the deposit
being non-refundable, VSI will allocate 50% of the retained amount
to a future trip, provided such trip is reserved within 60 days
of the original departure date, subject to availability. Any additional
balance due for the new reservation must be forwarded as per normal.
>>
Except
in the most extreme circumstances, cloudy or normally rain days
are not considered cause for last minute cancellations. The exceptions
include; area lightening, or severe storm warnings. Experience
has shown that often simple rain in one area does not necessarily
mean rain at sea. VSI always verifies the weather for the day
of departure and will adjust its itinerary accordingly. Should
the client and VSI agree not to embark on a booked trip for any
reason, a subsequent postponement ‘rain date’ shall
be established and mutually agreed in writing. In no case may
the alternate date exceed 30 days from the original departure
date.

Departure Times |

Scheduled
departure times are carefully calculated by VSI in advance. Group
participants should be apprised to make every effort to be punctual
for the departure. We will courteously wait for any group participants
who arrive late at the departure location. VSI will always make
every effort to complete all scheduled activities, however, in
no case shall it be held liable for any disruption to the operational
or event plans due to tardiness by group members.
